Vats Nu Guidelines
Vats Nu is a weekly electronic newsletter edited, formatted, and distributed by volunteers using a commercial software package. It is sent to almost every family in the Shir Tikva community. Vats Nu has a specific purpose within the overall TST communication strategy, which is:
- To inform about and provide registration/RSVP for upcoming events (promotion begins within 3 weeks of the event)
- To provide Save the Date notices for key events when a longer lead time is required
- To wish a return to health to those in our community in need of healing
- To inform members of life cycle events (births, marriages, deaths)
Hineni is our monthly printed publication sent by surface mail to each congregant household. Hineni in the publication to use for general reporting and reviews of past events.
Distribution
- Vats Nu goes to approximately 630 e-mail addresses
- This includes all congregation families (except for approximately 10 that do not have e-mail), prospective members, and friends of Shir Tikva
- The email addresses are derived from the Temple’s Chaverware (software package) member database
- Families are encouraged to submit more than one e-mail address if they wish to receive Vats Nu at work/home/spouse/child’s address
- Each week the current issue of Vats Nu also is placed on the Temple web site. Check www.shirtikva.org under Events tab.
Mailbox
- vatsnu@shirtikva.org
- This mailbox is separate from the Hineni (monthly printed bulletin) mailbox
- In the subject line of the mail message be descriptive of the content included, e.g. “Adult Hebrew Course,” as opposed to “For Vats Nu”
Timing
- 12 noon, Friday is the absolute deadline for that week’s edition
- Send articles 4 weeks in advance for placement 3 weeks in advance of event
- Vats Nu runs articles for 3 weeks
- Vat’s Nu is delivered to congregant e-mails on Sunday evening or Monday morning
Text Content
- A brief message of no more than 8 sentences is most likely to be read
- Sentences need to contain date, time, place, contact information and a brief description of the event
- Our reports show that click-throughs (clicks on “Go” or “More Information Here”) are not widely used, so please reserve those for registration forms or detailed information, if necessary
- Please indicate under which Vats Nu heading you wish the text to appear. The headings are: Worship, Education, Tikkun Olam, Gathering, In Our Congregation (reserved for Rufuah, Mazel Tov and Condolence information received from the Temple office) and In Our Community
- Check and double check spelling, contact names and phone numbers as well as the accuracy of all included information
Text Format
- Our software automatically formats content so it is not necessary to use italics, bold, indentations and unusual fonts. Moreover, unusual fonts and spacing do not appear the same on all congregant’s computers.
- Very simply in Microsoft Word:
- Create a brief headline in 12 point Times New Roman
- Create the descriptive sentences in 10 point Times New Roman
- Name the file in a short, descriptive manner, using the appropriate heading (see above), e.g. Tikkun Olam-DarfurConcert
- Attach this Word message to your e-mail and send to: vatsnu@shirtikva.org
- Announcements in PDF format can be used and will preserve all fonts and formatting providing the reader has the Adobe reader installed on their computer. If submitting a PDF file please make sure everything is correct and be mindful that it is not so long as to overwhelm the issue. Correcting PDF files requires a specific software package that is not available to editors, so errors cannot be corrected by Vats Nu editors.
Images
- One image to accompany text is encouraged. The software we use does not accept more than one image per article
- Google (click on the “Images” tab above the search box) is a good resource for images
- Our software accepts jpg and gif image file formats and NOT bmp file format
- Files larger than 1MB are not acceptable
- Send the image file separately from the word (doc) file and name it appropriately. Example: Education-Shorashim.doc; Education-Shorashim.jpg
- Images embedded in text are not accepted by our software
